Volunteer Terms and Conditions

TERMS

  1. Introduction
    These Terms and Conditions ("Terms") apply to all individuals volunteering their time in an unpaid capacity for the Australia Youth Film Festival ("AUYFF") during its Industry Day and/or Award Ceremony events.

    By registering as a volunteer for AUYFF, you confirm that you have read and understood the following Terms, and agree to be bound by them.

  2. Nature of Engagement
    • All volunteer roles are unpaid and undertaken voluntarily.

    • This arrangement does not constitute employment, nor create any expectation of remuneration, future work, or benefits.

    • AUYFF volunteers are not considered Nominees, Attendees, Contractors, or Employees.

  3. Role Assignment and Participation
    • Volunteers may choose to support either the Industry Day, the Award Ceremony, or both.

    • Your duties, schedule, and location will be advised in writing prior to the event.

    • AUYFF may modify your assigned duties or schedule at its discretion based on operational requirements.

  4. Duties and Responsibilities
    • You agree to perform all assigned tasks responsibly, courteously, and to the best of your ability.
    • Volunteers are expected to be punctual, professional, and uphold the reputation of AUYFF at all times.
    • You agree to follow all lawful and reasonable directions given by AUYFF staff or designated representatives.
    • Volunteers must not consume alcohol or drugs during their shift or report for duty under their influence.
    • Volunteers must wear any required identification or clothing provided for safety or branding purposes.

  5. Code of Conduct
    • Volunteers are expected to act respectfully and inclusively towards all staff, guests, attendees, and other volunteers.

    • AUYFF maintains a zero-tolerance policy towards harassment, discrimination, or disruptive behaviour.

    • Breaches of conduct may result in your immediate removal from the event and/or future ineligibility to volunteer.

  6. Health and Safety
    • You must follow all health, safety, and emergency procedures communicated by AUYFF or the venue.

    • Volunteers must immediately report any incidents, injuries, hazards, or unsafe behaviour to their supervisor.

    • Volunteers with medical conditions, accessibility requirements, or support needs are encouraged to disclose these confidentially in advance.

  7. Event Media Consent
    • You consent to being filmed, photographed, or recorded at AUYFF events.

    • You grant AUYFF and its affiliates unrestricted rights to use your image, likeness, voice, or name in promotional and archival materials, in perpetuity and without compensation.

  8. Intellectual Property and Confidentiality
    • Volunteers must not disclose confidential information learned through their role.

    • Volunteers may not use AUYFF’s branding, materials, or proprietary information for personal or commercial purposes without written consent.

    • Volunteers do not contribute Intellectual Property (IP) to AUYFF and retain no rights to materials created by or for the Festival.

  9. Privacy Policy and Communications
    • AUYFF collects personal information for the purpose of administering your participation.

    • You acknowledge and agree to the terms outlined in the Festival’s Privacy Policy available on the Festival’s website.

    • Your information may be shared with third parties for event delivery or as required by law.

    • AUYFF and its affiliates may send you updates and relevant communications. You may unsubscribe at any time following the conclusion of the 2025 Festival.

  10. No Awards or Prizes
    • Volunteers are not eligible to receive awards, prizes, or reimbursements unless explicitly stated.

    • Volunteering at AUYFF does not constitute a nomination or official entrant status.

  11. Travel, Costs, and Reimbursements
    • Volunteers are responsible for their own transport, meals, and accommodation unless otherwise specified in writing. This excludes transport, meals and accommodation provided by the Festival as agreed to in writing.

    • AUYFF is not liable for any out-of-pocket expenses incurred by volunteers.

  12. Cancellations and Force Majeure
    • AUYFF reserves the right to postpone, relocate, or cancel any event due to circumstances beyond its control including natural disasters, health crises, venue issues, or government restrictions.

    • AUYFF is not responsible for any resulting losses, travel changes, or damages incurred by volunteers.

  13. Indemnity and Liability
    • AUYFF maintains public liability insurance for its events; however, volunteers acknowledge they participate at their own risk.

    • You agree to release and indemnify AUYFF from any liability for personal injury, loss, theft, or damage to property arising from your participation, except where caused by gross negligence on the part of AUYFF.

  14. Termination of Volunteer Participation
    • AUYFF reserves the right to end your participation at any time, with or without cause.

    • You may withdraw from volunteering by providing reasonable notice in writing to AUYFF.

  15. Entire Agreement
    • These Terms represent the full agreement between you and AUYFF regarding your volunteer participation and supersede all prior communications.
